Executive Secretary for Chairman Office:
1- Preparing, improving, and applying an integrated office management system as follows:
a- Database for internal and external contacts.
b- System for handling incoming and outgoing post and internal correspondences.
c- System for archiving
d- Complete integrated information database for offers and tenders
2- Creating reports for handled incoming/outgoing calls throughout the working day with the results and actions taken for each call, and following up the instructions regarding these calls
3- Updating the agenda for manager’s appointments and a follow up calendar/reminder tool for confirmation/cancellation updates.
4- Handling all requirements for meetings and committees through the following
a- Meeting preparation: meeting topic, head of the meeting, attendees, preparing invitations, meeting agendas
b- During the meeting: taking meeting minutes
c- After the meeting: copying meeting summary to attendees and following up the actions needed
d- Arranging, attending, and following committees meetings
5- Welcoming visitors, and handling PR tasks, and contacting stationaries for office supplies.
6- Travel on business with the c
